You’re a busy woman, right? Sometimes you get so many emails, and they can all easily be responded to with the same thing…
On our ongoing aspiration to optimize your inbox, Ponn and I have already talked about how to master your inbox and attach multiple accounts to one email account, so you don’t have to keep logging in and out. Time for another quick tip: use canned responses to quickly respond to similar emails or save generic formatting.
For example, if you’re reaching out to many different people about the same offer, you’ll probably have the same or similar things to say. Canned responses let you save preset text, which you can then insert into any email in two quick clicks. Once you edit as required and personalize as you like (don’t just send out obviously generic messages–using canned responses doesn’t mean you shouldn’t be authentic), you’ll have some finished emails and some time saved.
Just another one of Gmail’s hidden gems.
How to Use Canned Responses
This lab is incredibly simple to install and use. You can find it under the Labs tab in your settings:
Once you’ve enabled the feature and saved your settings, compose a new message. There is a dropdown menu for more options with all your other formatting tools.
Clicking it will pull up a “Canned responses” option.
Here you can insert, save, or delete canned responses in one click. Just type what you want to save, hit “New canned response…” and give it an appropriate name for later.
